A large Japanese company was introducing the latest version of SAP software. The software had to be adjusted to the company’s needs. At first, the team that made the adjustments was supporting the software. After the job was done, a regular support crew came in, and knowledge about the system operation and support had to be transferred from one team to the other. Our company has been entrusted with planning and overseeing the knowledge transfer. We were a part of the larger team led by another consulting company. We worked directly with the client, the leading consulting firm, and both IT teams to ensure everything was according to plan. We have successfully managed our project to deliver agreed results on time and within budget.

Project goalsPlan the KT process (curriculum, schedule, involved IT teams, other stakeholders).
Control for regulatory compliance as the client is in a heavily regulated industry with many mandatory regulations and voluntary best practice norms.
Oversee the execution of the KT process, and report the progress to the leading consulting firm and the client.
Confirm successful KT outcome and report to all stakeholders.
Execution (methods)Planning of the KT through multiple interviews with main stakeholders. Identify road map, major milestones, desired outcomes, risk responses, etc.
Execution of the KT through conducting KT sessions, recording and storing relevant information about the KT sessions, and reporting issues and possible responses to the stakeholders.
Controlling the outcome through regular check-ups. Reporting the outcomes to stakeholders.
Major outcomesThe outgoing team has transferred the knowledge about the ERP software to the incoming team, as confirmed by multiple checkpoints and milestones.
Next stepsThe project has been completed. The incoming IT team started supporting the software for the client.
NotesThe client was Japanese, and the work was done in Japan. However, multiple teams and team members were participating from Europe, US, India, and China. So, we classify this project as international.
